Terms of Service

Last updated 16 August 2026

These terms govern your access to Podieazy recording, editing, hosting, webinar, streaming and voting services. Please read them alongside our Privacy Policy and Cookie Policy.

1. Acceptance of these terms

By creating a Podieazy account, accessing the platform or joining a session hosted on it, you agree to these Terms of Service. If you are agreeing on behalf of an organisation, you confirm you have authority to bind that organisation.

You must be at least 18 years old to create an account. If you do not accept these terms, do not use the service.

2. Description of the service

Podieazy provides browser-based podcast recording with local track capture, AI-assisted editing and transcription, podcast hosting with RSS distribution, webinar hosting with registration and moderated Q&A, live streaming, and online voting including verified ballots and hybrid convention sessions.

Features available to you depend on your plan. We may add, change or retire individual features, and we will give reasonable notice before removing functionality that materially affects a paid plan.

3. Your account and workspace

You must give accurate registration details and keep your credentials secure. You are responsible for all activity that occurs in your workspace, including sessions run by guests and co-hosts you invite.

  • Do not share sign-in credentials; invite collaborators instead.
  • Tell us promptly if you believe your account has been accessed without authorisation.
  • You are responsible for the accuracy of eligibility lists and member data you upload.

4. Subscription plans and billing

Paid plans are billed in advance, monthly or annually, through Stripe. Subscriptions renew automatically at the then-current price until cancelled. Annual plans are billed as a single upfront payment.

Trials, where offered, run for 14 days. If you do not cancel before the trial ends, the plan converts to a paid subscription. You can cancel at any time from Account settings; access continues until the end of the paid period and we do not refund partial subscription periods except where required by law.

Taxes are added where applicable. Failed payments may result in suspension of paid features until payment succeeds.

5. WebiVote one-time payments and refunds

WebiVote convention sessions are one-time purchases priced by attendee band. A purchased session is valid for a single 24-hour window that begins at payment and is tied to the participant cap you selected.

Because a convention room is provisioned immediately, WebiVote purchases are refundable only if you request a refund before the room is launched and within 24 hours of purchase. Once the room has been launched or the 24-hour window has elapsed, the purchase is non-refundable.

If we fail to provision your room, or a platform fault prevents the session from running, you are entitled to a full refund or a replacement session at your choice.

6. Acceptable use

  • Do not record or stream participants without their knowledge and consent.
  • Do not upload or distribute unlawful, infringing, harassing or malicious content.
  • Do not attempt to tamper with ballots, audit records, eligibility lists or another workspace's data.
  • Do not probe, scan or overload the platform, or circumvent plan limits and access controls.
  • Do not use the platform to send unsolicited bulk email through our newsletter or notification features.

7. Voting integrity

Verified voting, anonymous ballots and audit logging are provided as tools to support your own governance process. Anonymous ballots store voter identity and ballot content in separate records that are never joined after submission, and audit entries are hash-chained so that alteration is detectable.

You remain the controller of your vote: you are responsible for eligibility lists, notice periods, quorum rules, resolution wording and publication of results. Podieazy does not certify election outcomes and is not the returning officer for your organisation.

Attempting to cast ballots you are not eligible to cast, or to alter audit records, is a material breach of these terms.

8. Your content and licence to us

You retain all rights to recordings, transcripts, episodes, clips and other content you create or upload. You grant Podieazy a limited licence to store, process, transcode, transcribe and distribute that content solely to operate the features you use, including publishing to your RSS feed when you choose to publish.

You are responsible for holding the rights and consents necessary for the content you upload and publish.

9. AI features

Transcription, filler-word removal, chapter detection, Magic Clips, show notes, newsletter drafts and AI co-host suggestions are generated automatically and may contain errors. Review AI output before publishing it. You are responsible for anything you publish, including AI-assisted text.

10. Third-party services

Podieazy relies on third-party providers to deliver the service: Supabase for database, authentication and storage; Stripe for payments; Daily.co for convention video rooms; and, where you enable it, HubSpot for webinar lead sync. Their processing is governed by their own terms, and integrations you enable are used at your discretion.

We are not responsible for outages or changes in third-party services outside our control, but we will make reasonable efforts to restore service or provide an alternative.

11. Availability, support and plan limits

We aim for high availability but do not guarantee uninterrupted service on any plan without a written service-level agreement. Recording session limits, poll limits, attendee caps and storage limits apply per plan and are enforced automatically.

12. Suspension and termination

You may cancel your subscription or delete your account at any time from Account settings. Deleting your account removes recordings, transcripts, episodes, clips and personal records, and anonymises references in retained voting audit logs.

We may suspend or terminate accounts that breach these terms, create legal risk, or fail to pay. Where practical we will give notice and an opportunity to remedy the breach.

13. Disclaimers and limitation of liability

The service is provided "as is" to the extent permitted by law. We disclaim implied warranties of merchantability and fitness for a particular purpose. We are not liable for indirect, incidental or consequential loss, or for lost profits, revenue or data.

Our total aggregate liability arising from the service is limited to the amounts you paid to Podieazy in the twelve months before the event giving rise to the claim. Nothing in these terms limits liability that cannot be limited by law.

14. Changes, governing law and contact

We may update these terms; material changes will be notified by email or in-product at least 14 days before they take effect, and continued use after that date constitutes acceptance.

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where local consumer law grants you the right to bring proceedings where you live.
